Explain the totals section
A customer's costs are calculated over a full year, several factors make up these costs, detailed in the table below based on a site with 5 bins serviced monthly.

Exchange Time |
Amount of time spent on site actually delivering items. | Each bin takes 2 minutes to service. On top of this, the driver also has to unload the van and get a signature, this takes a flat 10 minutes. Therefore, each service the driver is on site for 20 minutes. The site is serviced once a month, meaning the exchange time for the year is 240 minutes. | ((5 x 2) + 10) x 12 = 240 |
Exchange Cost |
Cost of delivering items to the site based on the Exchange Time and the Vehicle Hourly Cost. | As above, a site has an exchange time of 240 minutes per year. The vehicle hourly cost, the cost of running the van and paying the driver, is £15 per hour. The exchange cost for the year will be £60. | (240 ÷ 60) x 15 = 60 |
Consumable Cost | Total cost of replacing all of the consumables for every item serviced on site. | Each bin needs a new liner each service, with each liner costing 50p. The consumable cost for this site is £30. | (5 x 0.5) x 12 = 30 |
Depreciation Cost | Cost of the stock item depreciating in value over a period of time. | Each bin has a depreciation of 33% meaning that after 3 years the bin will need replacing. A bin costs £60 from the supplier, the yearly depreciation cost for each bin would be £20. So the depreciation cost for the site is £100. | 5 x (60 x 0.33) = 100 |
Wash Cost | Total cost of washing all of the items for a site. | Each bin costs £1 to wash. The yearly wash cost for this site is £60. | (5 x 1) x 12 = 60 |
Sub Contractor Cost | The cost of paying the sub contractor to service the site. | A sub contractor is paid £100 to service 5 mats on the site, the sub contractor cost is £100. | N/A |
Totaling all of the costs together, the yearly cost for servicing this site equates to £590.
These totals can be seen on the sites screen, provided you are in the Accounts Manager role. There is also the Site Cost Breakdown report which details the costs for each item on this site.
The costs for stock items are set via the Sub Category for that stock item. These costs can be overridden on individual stock items if required, for more information see How to: Set Up Stock Costs.
